Amazon Executive Assistant & Project Manager, Japan Operations in Tokyo, Japan

Description

We are looking for an Executive Assistant who wants to work in a fast-paced, exciting, and dynamic organization. We are seeking a resourceful, self-motivated, highly organized, and efficient Executive Assistant to support one director and their team. This position will also serve as a Program Manager in the Director's organization; however, he/she may support two Directors in the future.

To be successful in this role, the candidate will possess strong attention to detail, the ability to meet tight deadlines, and remain poised under pressure. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is a must. The successful candidate will possess the ability to complete complex tasks and projects with minimal guidance; react with appropriate urgency to situations that require a quick turnaround, and oversee multiple calendars that require daily attention.

This position will work closely with EAs in Japan Operation team, as well as with partner teams throughout Amazon Store teams. Responsibilities for this position include an emphasis on calendar management, owning and driving team morale events, managing seating and space at HQ, coordinating domestic and international business travel and meetings, and collaborating with international teams to coordinate executive meetings. Candidate must have the ability to quickly learn organizational structure, team objectives and adapt to Amazon values and vision. As the Project Manager, you will lead collaborative problem-solving by bringing together diverse stakeholders. Working closely with internal and external teams, you will facilitate efficient processes to turn challenges into results.

Key job responsibilities

Executive Assistant (60%)

• Project/program management: Support annual operational planning process, business planning, performance review cycles

• Organizing, prioritizing and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed

• Creating and implementing processes and mechanisms for running the business

• Calendar management: Coordinating global schedules and making necessary arrangements for meetings and conference calls

• Large event coordination (including organization all-hands, off-sites, and morale events)

• Scheduling and coordinating travel arrangements, both domestic and international

• Document and Power Point creation, editing and proofing

• Expense Reimbursement

• Serve as a business partner ensuring strategic, proactive and thoughtful support of the business cycle

• Space planning

• Provide additional support to the extended management team as needed.

Project Manager (40%)

• Document control (MBO/MBR/WBR), Deck update, Standardization, Change Management Cycle, Stakeholder management, Report creation.

• Manage FC tour operation, lead Ops & Retails partnership program (planning and coordination)

• Work on engagement initiatives in collaboration with FNP (Fulfillment Network Planning) team. Analyzes event metrics, work with Amazon Ads team to create new values.

Basic Qualifications

  • Minimum 2+ years experiences in an executive administrative capacity for a medium to large size company.

  • Expert user in Microsoft Outlook, Word, Excel and PowerPoint.

  • Experience in handling confidential information with discretion, and deal with professionals inside and outside the company.

  • Experience participating in cross-functional projects with various stakeholders.

  • Skilled at editing, formatting, and proofing documentation.

  • Japanese native and business level English

Preferred Qualifications

  • Experience in a fast-paced environment.

  • Strong ownership, communication, and partnering skills.

  • Previous project management and event planning experience preferred.

  • Strong enthusiasm to provide superb customer service.

  • The ability to engage team members (teamwork), and drive deliverables to ensure the success of the team.

  • Ability to remain calm under tight deadlines, changing requests, and schedules.

  • Excited about working in a diverse group and contributing to an inclusive culture
